Office Policies

It is our pleasure to care for our patients.  Please be aware of the following policies to help ensure an efficient experience.

Prenatal/New Patients

We encourage an after hours consult to meet with one of our physicians for parents of new patients or expectant parents.  This can be arranged by calling the office during business hours.

Well Child Routine Physical Exam Appointments

We recommend calling as early as 6 months ahead of the desired appointment.  The best times to book physicals are April/May and October/November.  There is often very high demand for summer appointments.  Physicals for fall sports and Pop Warner participation should occur after January 1st of the year of participation.  Infants will usually have their well child visits scheduled at the conclusion of their prior appointment.

Telehealth

Please be aware that you or your insurer may receive a bill for services provided via telephone. In an ongoing attempt to limit the spread of infection, our physicians are offering as much care over the telephone as is safely possible. Our preferred model of healthcare continues to be a visit in person, but we are constantly weighing the risks and benefits of potential exposure for your child and our staff with each patient interaction. Please understand that we are not taking the additional cost to our patients lightly when billing for these alternate services, but just as we would need to charge for our advice in person, we will need to charge for advice over the phone. Do not hesitate to call us as you normally would. Our first priority will always be the health of your child.

Weekday Sick Visits

We attempt to accommodate all necessary sick visits on a same day basis.  We recommend calling early in the day if you feel your child requires a visit.

After Hours and Weekends

If you have an urgent matter after hours or on a weekend, call the main number, choose to speak with our answering service and the answering service will page the doctor or nurse on call.   In the unlikely event that you do not receive a call back within one hour, please do not hesitate to call again.  Urgent sick visits may be requested by calling the office before noon on Saturdays and Sundays.

Hospital Stays

We hold admitting privileges at Women and Infants Hospital.  We will see your newborn during each day of the hospitalization.  We work closely with the specialists at Hasbro Children’s Hospital.

Appointment Cancellations

We ask that you kindly notify us 24 hours in advance of any appointment that needs to be cancelled so the appointment may be given to another family.  Failure to do so may result in a missed appointment fee.

School/Camp/Daycare Forms

For your convenience, you will be given a form with your child’s vaccine record and any health related restrictions at each well child health maintenance visit.   This form may be photocopied and attached to any medical information form you receive.  There is a fee for replacement of the form or for any other forms that may require completion.

Medical Record Transfer

In compliance with HIPAA, our office requires a written request to transfer records.  In general, records will be made available within 3-4 weeks after we receive your request.  There is a charge for retrieving and copying the medical records.  Patients who are 18 years of age or older must personally sign the release.
